Library Seminar Room:  Located in the Guin Library, this is the Center's largest meeting room. The seminar room is furnished with tables and chairs which can be rearranged. The room has two entrance doors, one with a reception table, the second coming from a small lobby. Food and non-alcoholic drink may be served here if prearranged with the Meeting Room Coordinator, and may be set-up in either entrance lobby. Availability:  The Library’s hours are 8am-5pm Monday to Friday and this room is unavailable for non-HMSC use when the Library is closed. The Library Seminar Room can be booked up to three months in advance of the booking date. Bookings longer than two days must be approved by the Director’s Office.

Equipment: 80" monitor equipped with speakers for presentations operated by a PC computer with HDMI ports and internet access at a podium; large portable white board; room camera and microphone for web conferencing; speaker phone- (541) 867-0356 and Polycom equipment (broadcast use only) - IP address 128.193.170.78. Free wireless access in the entire Library. 


Capacity: 48 (24 max at tables, plus 24 additional chairs).

Barry Fisher Room in the Library:  Smaller conference room located in the Guin Library with flexible room arrangement. Food and non-alcoholic drink may be served here if prearranged with the Meeting Room Coordinator. Directions to the library are at  http://hmsc.oregonstate.edu/facilities/map-and-directions.

Availability:  The Library's hours are 8am-5pm Monday to Friday. Unavailable for non-HMSC use when the Library is closed. This space can be booked up to six months in advance of the booking date.

West Wing Conference Room: Smaller meeting room with a conference table located in the Main Building. Food/coffee service is discouraged.

Availability:  Available only for OSU/HMSC groups and co-located partners. This room can be booked up to six months in advance of the booking date.

Equipment: 70" monitor equipped with speakers for presentations operated by a PC computer with HDMI ports and internet access; white board; room camera and microphone for web conferencing; speaker phone- (541) 867-0204 and Polycom equipment for video conferencing with other IP-based video conference systems - IP address 128.193.170.96.

Capacity: 8 at the conference table. 2 more chairs can be added at the corners of the room.

Classroom 28:  Medium sized collaborative classroom with five movable round tables, each seating four. This room is located in the Education Wing of the Main Building. Furniture may be rearranged if moved back at the end of your meeting. Food and non-alcoholic drink may be served here if prearranged with the Meeting Room Coordinator.

Availability:  This room can be booked up to three months in advance of the booking date. This room is heavily used by academic programs and has limited availability for other uses; black-out dates may apply. May be available for weekend events by special request.

Equipment: 70" monitor equipped with speakers for presentations operated by a computer with internet; white board; room camera and microphone for web conferencing; Polycom equipment for video conferencing with other IP-based video conference systems - IP address 128.193.170.88.

Capacity: 20 at round tables.

Classroom 30/32:  This is the Center's largest classroom. This room is located in the Education Wing of the Main Building. Rows of fixed tables are equipped with electrical outlets face the front of the room. Food and non-alcoholic drink may be served here if prearranged with the Meeting Room Coordinator.

Availability:  This classroom can be booked up to three months in advance of the booking date. This room is heavily used by academic programs and has limited availability for other uses; black-out dates may apply. May be available for weekend events by special request.

Equipment: 80" monitor equipped with speakers for presentations operated by a PC computer with HDMI ports and internet access from a podium; white boards and 1 black board. 

Capacity: 30 at long tables.

Classroom 34 - Distance Education Classroom:  Small classroom in the Education Wing of the Main Building for distance education use only. Furniture cannot be rearranged. Food/coffee service is discouraged.

Availability:  This room is only available for HMSC/OSU class instruction, not for seminar or meeting usage.

Equipment: Tandberg unit (class instruction only, not for seminar or meeting usage) -IP address 128.193.170.89. Large wall screen, TV with VCR, podium, white board easel.
 

Capacity: 19 at tables.

MeetingRoom_StaffLounge

The Staff Lounge:  Located in the Main Building behind the Visitor Center. Food and drink can be served here if prearranged with the Meeting Room Coordinator. This space cannot be reserved for exclusive use during business hours. 

Availability:  This space can be booked up to six months in advance of the booking date but cannot be reserved for exclusive use during business hours. 

Equipment: Fireplace, 2 microwaves, 1 range with oven, dishwasher, coffeemaker, sink, and patio with 4 picnic tables.


Capacity: 30 at round tables. Two more round tables can be added to increase seating to 42. Additional seating for 24 outside on the patio.

MeetingRoom_DinningHall

The Dining Hall:  A casual, flexible space located next to the student housing complex. Food and drink can be served here if prearranged with the Meeting Room Coordinator. Tables and chairs set-up/break-down and room clean-up must be done by the group renting the hall. Kitchenette with stove, sink and refrigerators may be available for use if prearranged with the Meeting Room Coordinator. The hall is best used for social occasions since the acoustics make conducting meetings difficult. No pets in this area.  A request for alcohol service must be submitted to the Director’s office at least one month in advance, as special approval processes are required by OSU.

Availability:  Only available for rental Winter term. The Dining Hall is primarily for student housing use and has limited availability for other uses; additional black-out dates may apply.

Equipment: Tables and chairs, and kitchenettes (if prearranged). 


Capacity: 45 seated at tables or 60 standing reception style.

MeetingRoom_Gazebo

Gazebo:  The Gazebo is adjacent to the student housing complex. It is a covered outside area on a cement slab containing 6 picnic tables and a small counter area. Groups using the Gazebo may use the portable BBQs but need to supply their own BBQ supplies. BBQs must be kept under the Gazebo. A request for alcohol service must be submitted to the Director’s office at least one month in advance, as special approval processes are required by OSU.

Availability:  This space can be booked up to three months in advance of the booking date. However, the Gazebo is primarily for student housing use and has limited availability for other uses; black-out dates may apply.

Equipment:  6 picnic tables with benches, a small counter area and a small portable BBQ.

Capacity:  36 seated at the picnic tables or 75 standing reception style.

Hennings Auditorium:  The Hennings Auditorium is located inside our Visitor Center which is open to the public most days of the year. The public is allowed free access to any event taking place in the auditorium during Visitor Center hours. Theater style with a small stage, the auditorium can be used for film screenings, lectures and performance events. No food or drink allowed. When rented outside of Visitor Center hours, an HMSC staff must be hired to be on duty during the event. 

Availability:  The auditorium can be booked up to six months in advance of the booking date. The Visitor Center is open to the public Labor Day to Memorial Day 10-4 Thursday to Monday and Memorial Day to Labor Day 10-5 Daily. This space is only available for private events when the Visitor Center is closed to the public.

Equipment: Full projector booth, large wall screen for presentations operated by a laptop with internet, web camera and microphone for interactive web conferencing, podium with microphone, and auditorium lighting and audio systems. 

Capacity: Maximum capacity is 169 (167 seats plus 2 spaces for wheelchairs). The group renting the auditorium is responsible to make sure maximum capacity is not exceeded. No standing in the aisles, at the back of the room, or at the entrance doors is allowed. If a larger audience is anticipated for your event, an overflow room with Polycom connection can be included, if prearranged.

Visitor Center:  Part aquarium, part learning laboratory, part museum, the HMSC Visitor Center is dedicated to showcasing scientific exploration. The Center creates a unique environment for special dinners and events. Food and drink may be served here if prearranged with the Meeting Room Coordinator. Fees apply for HMSC staff person on duty (required), and for IT and facilities support. A request for alcohol service must be submitted to the Director’s office at least one month in advance, as special approval processes are required by OSU.

Availability:  Can be booked up to six months in advance of the booking date. The Visitor Center is open to the public Labor Day to Memorial Day 10-4 Thurs-Mon and Memorial Day to Labor Day 10-5 Daily. This space is only available for bookings when the Visitor Center is closed to the public.

Capacity approximately 80 seated at banquet & round tables.

The Labs:  HMSC has a number of teaching laboratories with running seawater tables that can be rented when not in used for the Center's educational programs.

Availability:  Labs can be booked a minimum of two weeks up to three months in advance of the booking date. These room are heavily used by academic programs and have limited availability for other uses; black-out dates may apply.

Equipment: Fresh water sinks, white boards, 8-24 running seawater tables, hood, and other lab equipment (available for rent upon request).

Capacity: 22-30 at long tables and or lab beaches.
